How it works

From an opted-in form submission to an appointment on your calendar.

Amreo sits in one narrow place: between the moment somebody asks your business a question and the moment an agent picks up an organized conversation. Here is exactly what happens in between.

The sequence

Five steps, every time.

Nothing here is improvised per lead. The same sequence runs on every eligible inquiry, which is what makes the outcome predictable enough to hand to a team.

  1. 1 · Form submitted, consent captured

    Sample Realty — Home inquiry

I agree to receive text messages from Sample Realty about my real-estate inquiry. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help.

  2. 2 · Inquiry-related SMS conversation

Sample Realty: Hi Jordan — this is Sample Realty following up on your inquiry about 12 Maple Ave. Are you looking to buy, or to sell first? Reply STOP to opt out.
Consumer: Buying. Pre-approved, hoping to move by spring.
Sample Realty: Great — what price range are you working with, and are you already working with an agent?

  1. STEP 02

    Rapid acknowledgement

Designed to initiate the first SMS within 60 seconds after receiving an eligible, consented form submission during messaging hours. Carrier delivery and recipient receipt are not guaranteed.

Automated outbound messages are sent 8:00 a.m.–8:00 p.m. ET. An eligible inquiry that arrives overnight is queued and picked up at the start of the next messaging window, so nobody receives a text at 3:00 a.m.

The first message identifies your business by name, references the inquiry the person just submitted and includes opt-out wording. Nothing promotional is attached to it.

  2. STEP 03

    Qualification

The conversation covers the things your agents would ask anyway: whether the person is buying or selling, the target price range or budget, pre-approval status, how soon they want to move, and whether they are already working with an agent.

Answers are captured as structured fields rather than buried in a thread, so your team can see the shape of the opportunity without reading every message.

The assistant stays inside the scope of that inquiry. It does not pitch unrelated listings, and it does not start a new marketing conversation.

  3. STEP 04

    Scheduling

When someone is a fit for a conversation, the assistant offers real availability from the calendar you connect and books the appointment directly in it.

Routing rules are yours to define: a single shared calendar, a specific listing agent, or a round-robin across the team.

If the person is not ready to book, the conversation still ends with useful information for your team rather than a dead thread.

  4. STEP 05

    Handoff

Your agent gets a short summary: what the person is trying to do, the qualification answers, the appointment details and the full message history.

Escalation rules decide when a human should step in early — an unusual question, a high-value inquiry, or an explicit request to speak to someone.

Confirmations and reminders for that appointment, plus limited follow-up connected to the same inquiry, continue inside the messaging window.

Messaging window

Messages go out 8:00 a.m.–8:00 p.m. ET. Nothing at 3:00 a.m.

Inquiries can be captured at any time. Automated outbound messages are a different matter, and they are restricted to a configured window.

  • 8:00 a.m. through 8:00 p.m. Eastern Time

All automated outbound messages, including reminders and follow-up related to the same inquiry.

  • Overnight inquiries are queued

An eligible inquiry that arrives outside the window waits for the start of the next messaging window.

Designed to initiate the first SMS within 60 seconds after receiving an eligible, consented form submission during messaging hours. Carrier delivery and recipient receipt are not guaranteed.

Inputs and outputs

What goes in, and what your team gets back.

What the system needs

  • An inquiry submitted on a form your business owns
  • Affirmative, unchecked SMS consent naming your business
  • The consumer's stated interest and contact details
  • Your calendar availability and routing rules

What the system produces

  • An inquiry-related SMS conversation from your business
  • Structured qualification answers
  • An appointment on your connected calendar, when the prospect books
  • A summary, appointment context and conversation record for your agent

We do not claim that every CRM, portal or lead source is supported. Which of your systems can be connected, and how, is confirmed during discovery.

Your side of the work

What we need from your team

Implementation is a joint effort. None of this is heavy, but all of it is required before live traffic reaches the workflow.

  • Access to the client-owned form

The form your business owns and can edit — the one your inquiries actually arrive through. If inquiries come from several places, we start with the ones that matter most.

  • Approved consent language

A separate, unchecked SMS consent control that names your business, sits next to the consent wording, and links to your own privacy policy and terms. We provide a template; your counsel approves the final wording.

  • Calendar availability

A connected calendar with real, bookable availability, plus the routing rules that decide whose calendar an appointment lands in.

  • Escalation rules

Clear instructions for when a human should step in — request for a person, out-of-scope questions, high-value inquiries, or anything you want handled directly.

  • Test leads

Time to run real test inquiries end to end, on real devices, before anything is switched on for live traffic.

  • An identified internal owner

One named person on your side who can make decisions, approve wording and unblock access. Implementations stall without this more often than for any technical reason.

Messaging registration is completed under your business details, because your business is the sender and the consent holder. Amreo supports that process; it does not replace it, and approval by carriers or registries is never guaranteed.

The relevant disclosures live in our SMS Terms and Conditions and Privacy Policy.

Walk us through your current lead flow.

Thirty minutes on where inquiries come from, how consent is captured today, how your team responds, which calendar should receive appointments, and whether implementation is realistic on both sides.

No contact form, no phone-number capture. Booking is handled by Calendly.
